There are a number of ways to generate a new Credit Note.
First, click the “Add” link on the Search Credit Note page.
Alternatively, select the Gemini Items you would like to credit from the list of Items in your Project and click the “Invoice Selected Items” link below the grid.
From the popup, select what you would like to credit and specify the Quantity and Price. Be sure to select the “New Credit Note” option from the “Document Type” drop down.
Click “Save” to create the new Credit Note and move to edit mode of the Credit Note.
When editing a Credit Note, you will note there are five distinct content areas on the Edit Credit Note page.
First, the Client and Contact section; this is the Client Company for whom the Document will be issued, and the Contact Person for whose attention the Document should be made out to.
Next, the “Copy To” section allows you to specify a Gemini User or Email Address that this Document should be sent to. Note that any notifications (Reminders) for this Document will also be sent to the Gemini User, or Email Address specified here. Multiple emails can be added as a comma separated list.
The Credit Note Details section allows you to specify the detail for this Document.
Next, add Detail Items to your Credit Note.
Click the “Add” link highlighted above to add additional detail to your Credit Note.
Use the icons on the right to set the display order for your Credit Note Line Items.
The Totals panel shows the Subtotal, Tax Totals (for each Tax Code set on your Credit Note Line Items), Payment Total (if there are any Payments logged against this Invoice) and the Invoice Grand Total.
Finally, the Notes section is for recording notes against a Document for administrators to view. Notes do NOT appear on printed or PDF documents.
To edit an existing Credit Note, click the edit icon in the list of Credit Note search results. By default SimplyFi will not allow you to edit Documents in an issued (or above) status. This is to prevent changes being made to Documents that have already been sent to a Client. You can override this if you absolutely have to, by editing the “Allow issued document edit” permission in the General settings of SimplyFi.
